Roboto Global Sp. z o.o. is a company specializing in translating, testing, and recording dubbing for video games. They manage translations in all languages by partnering with linguists globally and providing game developers with support and advice for product releases.

The company offers a full range of services, including translation, functional game testing, linguistic testing, and dubbing and Voice Over (VO) recordings in their own studio.

How did the company manage before?

Roboto is a company where effective coordination of tasks is essential. With employees from various regions globally, proper planning is fundamental to its operations. 

Magdalena Oracz, Head of HR, since starting at Roboto, aimed to eliminate paperwork. Initially, the company relied on paper forms, which took a lot of time to prepare. This process included printing, cutting, and submitting documents to a supervisor, making it very inefficient. The company tried out two different applications, but neither fulfilled their needs. Finally, they came across HRnest, which turned out to be a solution they needed.

The systems we evaluated were quite difficult to use. Once we implemented the second system, we discovered it was no longer supported, forcing us to find another option. That's when we discovered HRnest and it was love at first sight. We were pleasantly surprised by the tool's user-friendliness and clarity.

Easy-to-use tool

The solutions previously tested at the company Roboto were not user-friendly and were challenging to use. This changed when Ms. Magdalena, along with the Head of IT Department started looking for a new system. They discovered HRnest, which employees quickly adapted to. The tool offers multiple language versions, making it customizable to the company's requirements.

The system is so user-friendly that it's difficult to make a mistake. Everything is clearly explained, enabling users to understand what to do right away. This was exactly what we wanted in the new tool. We aimed for employees to spend minimal time figuring out their choices.

HRnest's clear and concise instructions simplify the tool's implementation in the company. You only need to import the correct file and organize the data for convenient use. Roboto managed to implement HRnest in just one day.

I spent one day inputting all the data using pre-made Excel templates. HRnest proved to be so intuitive that employees had no questions or issues learning the system.

Greater control over work scheduling

The comprehensive leave planning calendar in HRnest allows real-time access to the current situation in the company. From a single interface, users can view leave schedules, approved leave requests, and see which employees are working remotely or on business trips. These features enable Roboto to effectively manage work within a large international team.

HRnest assists us in planning our work. The department head can view leave schedules and planned leaves, allowing them to make appropriate decisions on coordinating tasks or approving or rejecting leave requests.

Roboto particularly values the feature of adding covering employees to leave requests. Requiring a designated substitute ensures that workflow remains smooth. The manager can access this information, and the covering employee receives a notification, ensuring the process is transparent and well-documented.

Having covering employees guarantees that all tasks are properly overseen, and nothing is missed. It serves as a reminder to prepare the team for any additional duties before going on leave.

Ready-to-use reports

For the company Roboto the main factor in choosing an HR system was the ability to generate reports. In HRnest you can easily export ready-made reports on electronic leave requests and the use of leave limits over a specified period. The system enables filtering of these summaries based on individual needs, allowing quick access to relevant data.

While selecting the system, I prioritized its clarity and ease of use. End-of-month summary reports were also important to me. In HRnest, I can download ready-made reports without worrying about errors in calculations.

Previously, the company used Excel spreadsheets for manually entering leave information and creating reports. It was a time-consuming task that took Ms. Magdalena at least half a day with fewer employees. With the current workforce, it would take up to a day and a half.

Now, I don't need to manually enter leave data into an Excel table or fiddle with files. I save a significant amount of time. With the current number of employees, it would take me a day and a half, but with HRnest, I can access all the data from one panel and download it instantly.

Everything in one place

Roboto migrated data from other systems and files into HRnest, improving communication and organizing documents efficiently. Employees can easily navigate the system and find the necessary functions without difficulty.

The system clearly displays all information. HRnest is user-friendly for both the HR department and every employee.

Having continuous access to up-to-date leave information and plans enables effective work planning. The system's multiple language versions facilitate collaboration with non-Polish speakers, which is particularly beneficial in the video game industry.

With HRnest all employees can access essential information from a single panel. The system's multilingual capabilities allow us to coordinate activities and enhance communication among global employees using just one tool.

Roboto, similar to many organizations, started with paper forms and time-consuming Excel spreadsheets. They then tested two systems, but neither fulfilled their needs. By implementing HRnest, which took just 1 day, the company:
