e-Packman Sp. z o.o. has been operating in Poland since 2015. Initially, the company specialized in consulting, analysis, and project management in the field of logistics. In 2018, it expanded its operations to offer comprehensive fulfillment services.

The company handles the complete order fulfillment process, including storage, picking, packing, and delivery of products for e-commerce and B2B clients to end recipients.

e-Packman is a rapidly growing company, with its fulfillment services gaining increasing popularity. To support this growth, the company actively seeks solutions to automate and optimize its processes.

As the founder and CEO, Łukasz Gwiazdowski, emphasizes, every opportunity to improve operations is invaluable. Initially, manually verifying timesheets took one full workday for a single employee and was often prone to errors or discrepancies. Recognizing the need for automation, Agata, responsible for administration and HR, along with Przemek, the warehouse manager, decided it was essential to implement a tool that would simplify daily tasks like tracking working hours and managing absences. Tracking warehouse working hours using QR codes

HRnest simplifies HR processes across all industries, and in the case of e-Packman, it is primarily used in warehouse operations. Employees utilize QR codes to quickly and accurately log their actual working hours.

Upon entering the warehouse, employees scan a QR code to automatically start tracking their time. Thanks to HRnest, our team no longer has to manually fill out paperwork, allowing them to focus on other tasks.

Moving the time-tracking process to an online system has significantly benefited not only the employees but also the warehouse manager. Previously, the manager, along with Agata, was responsible for verifying and organizing time-related records. Now, with automation, the manager has more time to coordinate warehouse operations and ensure workflow efficiency.

Since implementing HRnest, the warehouse manager can dedicate full attention to team organization and management without being burdened by administrative tasks related to time tracking. Everything is easily accessible within the system.

Preventing time-tracking fraud

e-Packman is a family-run company where most employees are hired through referrals, fostering a high level of trust from the start. However, precise time tracking is essential regardless of the relationships within the team. After implementing HRnest, it became evident that a few employees were taking advantage of this trust. By introducing QR codes, Łukasz discovered that some workers were dishonestly logging their working hours, starting much earlier than they actually began.

The QR code system resolved these issues within just 1 month of implementation. Now, I can be confident that my employees approach their responsibilities with integrity and honesty.

The introduction of HRnest has provided the company with consistent and reliable access to all data. Previously, the paper-based process often caused problems: illegible records, errors, and difficulties verifying the authenticity of data were common challenges. Transcribing this information for Payroll was particularly burdensome. Now, all the data is automatically available, eliminating any doubts about its accuracy.

HRnest supports all types of employment contracts, enabling e-Packman to effectively manage administrative tasks even for employees hired under arrangements other than standard employment contracts. The system adapts to the company’s needs, transitioning traditional processes into a convenient online format.

With HRnest, we can manage employees under all contract types, providing centralized access to all information. This significantly simplifies administrative work.

Initially, e-Packman tracked working hours manually. Agata spent an entire day each month transcribing data into Excel, verifying it, and preparing summaries for the accounting department - often with the warehouse manager’s assistance. Now, the entire process has been enhanced. Summaries are generated in the system and can be exported in just a few clicks. Over 18 months of using HRnest, the company has gained not only organized documentation but also substantial savings in time and resources. This success has led to plans for utilizing additional HRnest services, such as tracking contracts, training, safety training, and company-issued equipment.

Agata now saves approximately 8 hours a month, which she can dedicate to other tasks. Since implementing HRnest, the company has saved over 5,000 PLN solely on preparing monthly reports.
