Add attachments to Travel Authorization Forms that can be downloaded by people involved in the business trip 

In Travel Authorization Forms, the HR Department and users with permissions to manage business trips can add attachments. 

Thanks to this, employees can add additional information or suggestions related to planning a business trip, such as requirements for flight reservations, accommodation, or ticket purchases. This improves communication, as people involved do not need to contact each other to agree on details – everything is available in one place.

Note: attachments added here do not automatically appear in the business trip settlement.

Add longer descriptions to business trips 

When creating a Travel Authorization Forms, it is now possible to add longer descriptions in the Additional info – comments section. 

Thanks to this, employees can include additional information or suggestions related to the business trip. This improves communication, as people involved do not need to contact each other to clarify details – everything is available in one place.

Block the ability to settle business trips after a specified period 

We have added the option to block adding business trip settlements after a selected period in the system. This period is defined by the HR Department account and is calculated from the business trip return date. 

This feature helps manage settlements and ensures compliance with regulations related to business trips. 

By default, the feature is disabled. Once enabled, the system suggests a 14-day period, which is compliant with Polish regulations regarding the submission of business trip settlements. You can also set your own limit.

Control the number of attachments in a business trip settlement 

In the business trip settlement, information about the total number of added attachments is displayed. In the additional section dedicated to attachments, the names and descriptions of the added documents are shown.

The attachment description is the receipt number to which it was assigned. 

This helps control which documents are included in the business trip settlement, makes it easier to complete the documentation, and ensures that nothing is missed when settling the trip.

Download more data in the business trip settlements export 

In the Excel file containing business trip settlements, we have added columns with detailed settlement information. 

Thanks to this data, it is easier to analyze incurred costs. The following columns have been added: 

  • Settlement date 
  • Travel time 
  • Private car trips
  • Company car trips 
  • Trip costs – bills, invoices 
  • Subsistence allowances 
  • Lump-sum settlements

Download work location information in the Timesheet records export

When exporting work time records, we have increased the clarity and accuracy of data related to work location addresses. 

In the Excel file, two columns are now available: 

  • Address category – indicates whether the work was performed in the office, remotely, or during a business trip 
  • Work execution location (address type and name) – specifies the exact place, for example: Company headquarters (office), Place of residence (home), or Temporary work (apartment)
