Updates – New ways to manage employee skills, more data in exports, and improvements in business trips 

Manage your team’s competencies in a new way – create groups, define skill levels, attach certificates, and track expiry dates. Data exports now include more details, such as addresses, additional profile information, and delegation settlement data. In the delegations module, you can easily add attachments and settle travel allowances for international trips even faster.

Extended employee competencies section 

In the Personal File, you can now fully manage your team’s competencies. 
Add skills to employees, define their proficiency level using a convenient star scale, attach certificates, and set expiry dates. 

Thanks to the division into competency groups – such as Language or Managerial – and advanced filtering options, you can quickly find specific skills and get a complete, organized view of all competencies across the company. 

Grouping competencies 

Let’s start with creating competency groups. 
In HRnest, you can create a set — for example, Language Skills — and add specific competencies to it, such as French or English

This makes it easier to find employees with the right qualifications and skill levels exactly when you need them. 

The system already includes several predefined groups, such as: 

  • Language 
  • Managerial 
  • Soft 
  • Personal 
  • Cognitive
  • Technical 

Each of these groups also includes specific competencies.  

For example, the Managerial group contains competencies such as Task delegation, Team management, Change management, Strategic thinking, and Motivating others. 

Both groups and individual competencies have their own descriptions, making them easy to identify and organize.

If your company has previously added its own competencies that haven’t yet been assigned to a group, you’ll find them under the Unassigned to group category. 

To create your own competency groups: 

  1. Go to Personal File > Competencies 
  2. Open the Groups tab 
  3. Click Add competency group 
  4. Fill in the details and confirm by clicking +Add

You can now view all employee competencies in one place. 
With filtering, sorting, and customizable columns, it’s easy to review the skills of the entire team or selected employees. 

How to view all assigned competencies: 

  1. Go to Personal File 
  2. Click Competencies 

From this view, you can also manage competency groups by switching to the Groups tab. 

Assigning competencies to employees 

You can assign competencies directly to employees, keeping all information about their skills in one place. 

When adding a competency, you only need to select its name — the system automatically assigns it to the appropriate group. 

You can also define: 

  • skill level (number of stars), 
  • expiry date, 
  • notes, 
  • attachment. 

Adding an attachment allows you to store certificates or other documents confirming a given competency in one place.  

If you don’t specify an expiry date, the competency will be marked as permanent

There are two ways to assign competencies: 

Path 1 – directly from the list: 

  1. Go to Personal File > Competencies 
  2. Click Assign competency 

Path 2 – from the employee profile: 

  1. Go to Organization 
  2. Click Employee Profile > Personal File > Competencies 
  3. Click the + button next to Competencies 
  4. Fill in the required fields 
  5. Confirm by clicking +Add 

More information in data exports 

Residential and correspondence addresses, and additional fields from the Organization module 

In the Organization > Users view, the employee data export now includes new columns: 

  • Residential address 
  • Correspondence address 
  • Additional descriptive fields 

Note: In the exported file, each additional field appears as a separate column, and the corresponding data is displayed in the row of the respective employee. 

How to export the employee list with addresses and additional fields: 

  1. Go to Organization > Users 
  2. Open the context menu above the table 
  3. Select Export to Excel – the exported file will include the new columns 

Means of transport in the delegation settlements export and reimbursement date in individual reports

A new column with the means of transport has been added to the export of the trip settlements list. This information is entered in the Basic information section of the settlement, under Business trip details. 

In the exported Excel file, you’ll now see an additional column showing the means of transport. 

How to export data with the means of transport: 

  1. Go to Business trips 
  2. Click Trip Settlements 
  3. Open the context menu above the table 
  4. Select Export to Excel 

We’ve also added reimbursement details to the Excel export of individual delegation summaries. 

If a reimbursement date has been entered in the settlement process, this information will also appear in the exported file. 

It includes both the reimbursement date and the payment method (cash or other). 

How to export reimbursement data: 

  1. Go to Business trips> Trips Settlements 
  2. Open the settlement you want to export 
  3. In Step 3. Summary of the settlement, click the Excel icon 

Custom notification dates

You can now export information about the dates of your custom notifications from the Personal File module. 

The export includes all data visible in the table. 

How to export these details: 

  1. Go to Personal File 
  2. Click Custom notifications 
  3. Open the context menu and select Manage notifications dates
  4. Open the context menu again 
  5. Choose Export to Excel 

Travel time and meals in international business trips 

In international delegation settlements, the meal allowance table is now filled in automatically based on a helper summary — just like in domestic trips. 

A new Foreign column has been added to the table, visible only for international trips, along with the travel time related to each country. 

In this case, per diems are calculated separately for each country, using the default system rate. 

The system now automatically provides: 

  • number of days, 
  • number of hours, 
  • per diem rate, 
  • country currency, 
  • per diem amount. 

Meal information (breakfasts, lunches, dinners, hospital days, equivalent payments, and cash supplements) still needs to be entered manually, as before. 

Easier way to add attachments to trip expenses 

In the Add trip expense settlement – invoices and receipts window, you can now add attachments directly to the entered record. 

This way, all information and documents are stored in one place — you can attach the invoice or receipt right when creating the expense. 

Attachments can also be viewed and downloaded from the Invoices and receipts list, making it easier to verify documentation. 

How to add an attachment to an expense: 

  1. In the delegation settlement, go to the Add trip expense settlement – invoices and receipts section
  2. Fill in the expense details  
  3. Add the attachment 
  4. Click + Add settlement
