Work schedules at HRnest: Control the rhythm of work in your company

Creating work schedules can be a logistical puzzle for managers or HR departments, especially if you’re using paper templates or Excel for this purpose. 

Manually outlining the workdays for each team member consumes time and often results in crossed-out, illegible sheets. 

Creating a schedule

Properly planning work, ensuring smooth operations, and meeting deadlines are crucial for the efficient functioning of a company. Employee comfort and satisfaction also impact their productivity. 

So, let’s start with the simplest thing – preparing a schedule. 

You should navigate to the Work schedules tab in the Work Time module and click on Create work schedule.

Then, you need to fill out the form with the relevant information.

On the right side, there is also an Employees tab with a green Add button. Clicking it allows you to add the individuals for whom the schedule will be applicable. Since we are creating a schedule for the entire office, select all the departments that belong to it. Then click the Add Selected Departments button.

Now, with all the necessary data ready, click the green Next button located below the Work Schedule form. A beautiful, ready-to-fill schedule appears before you.

Let’s assume that everyone in your office will be working from 9 AM to 5 PM throughout the month. Together with Pam, you can create a schedule that corresponds to these hours for all employees with just a few clicks. 

At the top left corner, click on Bulk Add/Remove Hours.

Next, fill out the form according to your preferences – in our case, it’s the fixed working hours from Monday to Friday for all employees. You can also include a comment, which is unnecessary in this case.

Click the green Execute button, and you’re done!

Schedule with Different Working Hours

In this example, things looked quite straightforward, didn’t they? All employees had the same repeating schedule throughout the month. 

However, HRnest handles much more complex cases as well. 

The Work Time module supports three of the most common working time systems found in companies: 

  • Basic: working time is adjustable and can vary each day 
  • Basic with fixed hours or shifts: Employees work according to a fixed schedule 
  • Equivalent: Allowing to extend the daily working hours up to 12 hours 

If your company uses all three of these systems, during the schedule creation, you can indicate which one you’re using.  

We utilize the option for individual configuration of employee accounts because we employ both salaried and task-based workers. The flexibility in time tracking options greatly facilitates our control and planning.

To do this, first go to the Work Time module and navigate to the Work Schedule page. There, at the top left corner, click on Create Schedule. Next, under the Work time mode option, choose one of the three options mentioned earlier.

However, if your company uses only one working time system and you want to streamline schedule creation, it’s enough to go to the Work schedules – Settings section in the Work Time module via the Configuration panel.

Then, simply click Change next to Default work time mode set your preferences and save the changes.
