HRnest Sp. z o.o. is an online HR system. It allows for managing leave requests online, tracking and registering work hours, settling business trips, and keeping records. 

As a SaaS—Software as a Service, the tool continuously develops and adapts to the current market situation. It is also available internationally and can be used in 6 languages. Services are purchased through subscriptions.

How did the company manage before?

The history of HRnest began in 2013. The company's development significantly accelerated in 2018. This was due to the growing popularity of online HR systems, driven by market frustration with the time-consuming processes of traditional paper applications.

Based on our own experiences in different companies, we understand the challenges of dealing with paper leave requests. But we've never had those problems at HRnest. Ever since we started, we've always used our own product.

The system is continuously improving—newer users benefit from a more advanced system. Client feedback helps HRnest enhance the product's functionality and ease of use. All essential information is well-organized and accessible remotely, an especially important feature for this organization as it embraces a hybrid working model.

Currently, we use a hybrid work model and have employees residing in various cities. With HRnest, there's no need to manage paper requests or maintain time tracking manually. We manage all our documentation online via the system's interface.

A particularly helpful feature for Marek, as an employer, is the ability to set notifications in the system. Many things that he would need to remember and additionally note down are accessible through the tool. This is a significant support during the company's growth period and the increasing number of employees.

I am confident that we won't need to change systems as we grow. The great aspect of HRnest is its flexibility; we can easily modify the system's settings to suit our needs, whether we are handling 15 or 1000 employees.

Employee onboarding

HRnest assists employees from their first day at the organization. It greatly helps the CEO by allowing all documents, like internal rules and procedures, to be stored within the system. New employees can access and review these materials on their own schedule. If any documents need to be reviewed, the system can be set to indicate this requirement.

The document simply needs to be uploaded to the system and marked asrequires familiarization.” The employee is then required to open it and confirm that they have acquainted themselves with the information provided.

This also provides a chance for the initial introduction to HRnest as an online HR system. Marek estimates that getting acquainted with the basic functions takes less than 20-30 minutes. A deeper understanding of the tool develops naturally as users engage with more of its features.

It's enough for an employee to independently explore the system for about 20-30 minutes. After that, everything becomes clear to them.

Improving relationships among employees

Marek learned from the experiences of employees starting with HRnest that using the system prevented certain common issues. Stress related to submitting requests, uncertainty about date availability, and anxiety accompanying the entire process are concepts unfamiliar in HRnest. 

Technical features that provide information access, reduce paperwork, and monitor vacation limits are crucial. Equally important are the interpersonal relationships in a company. Many businesses aim for their employees to feel comfortable and secure in their workplace.

As our company expanded, we secured an office space to promote better communication. Despite in-person interactions, we manage all HR-related issues online. This approach keeps office discussions relaxed and free from stress.

Leaders aim to foster a welcoming and amiable environment that boosts employee productivity. However, reaching this goal can be challenging. With an HR online system, the mood of a manager or employee does not influence important communications like leave approvals or time entry corrections. This equal treatment eliminates the need for stressful interactions with supervisors or HR. 

When someone is going through a tough time, they don't need to directly interact with anyone and expose themselves to uncomfortable situations. HR matters can be handled from home, such as applying for necessary leave.

Notifications that ensure deadline compliance

Besides tracking ongoing activities, HRnest enables the uploading of various documents such as contracts, safety training materials, employee records, regulations, and more. A function that Marek finds especially helpful is the ability to set notifications.

The system reminds me when the deadlines for contracts or medical examinations expire. This makes it easier for me to take care of all the employees.

The role of CEO in a small company also requires him to deal with the more administrative part of the business. As a result, he greatly appreciates the fact that he doesn't have to additionally remember all document deadlines. The system will send him a notification at the right moment. As the boss, he gains confidence that he won't overlook anything.

Knowing that the system will remind me of important deadlines is heartening. Then I have the confidence that I won't miss any deadline and I am up to date with everything.

Time savings

Employees accustomed to handling paper requests or using Excel spreadsheets are pleased to switch to a user-friendly online HR system. The tool allows them to access data from anywhere, which saves time and reduces stress.
